Every website on the uchicago.edu domain is required to be registered with up-to-date information.
In addition to providing IT Services the appropriate site-specific contact information to facilitate help with site maintenance, the website registry enables IT Services to communicate any critical software and security upgrades that might directly affect site integrity and security. Ensuring a secure environment protects both the University and the website.
The University of Chicago has a practice of using web properties to communicate, share information, and conduct business. The University of Chicago’s web presence includes, but is not limited to:
Institutional websites and web applications, including www.uchicago.edu
Websites and web applications involved in e-commerce
Schools, centers, institutes, and departmental websites and web applications
Individual or project-oriented websites and web applications
All University web properties must adhere to the standards specified in the Web Properties Management Standards.
Site owners, the faculty or staff who have a business need for their website, are responsible for registering their sites. The site owner is rarely the technical support for the website as well. However, if as an IT staff member, you have bulk information for the ownership of these sites, you can work with us to leverage that data. Contact webhelp@uchicago.edu.
Currently, the data collected will be used to figure out completeness of the university’s understanding of web property ownership. When security issues arise, the registry will be instrumental in tracking down those who have a stake in the web property.
Over time, sites without registered owners will be reviewed with unit and divisional leadership. Sites that cannot be assigned after these best efforts may be subject to shutdown.
As the University takes a more proactive approach to ensuring its overall web presence is brand compliant, accessible, and secure, it is critical to know who the site owners are as activities often have an impact on the sites that need to be coordinated with the owner (e.g. updates, outages).
The fastest way to register a web property is to log in to the UChicago Web Property Registry (https://registry.uchicago.edu), and click the “Register a New Site” link/button. Complete the required fields and upon saving your registration, your web property is registered! You can update the information about a web property you’ve registered or you own at any time by returning to the UChicago Web Property Registry, and editing your individual web properties.
After a web property has been registered, it does not need to be registered again. However, as new information is available about the web property, you should return to the Web Property Registry and update the web properties you own with the most up-to-date information.
After logging into the Web Property Registry, locate the web property you own and edit its details. From the Edit screen, you’ll be able to flag your web property to be reassigned. After providing a bit of context for the reassignment, the web property will still show up in the list of web properties you own until a member of the WebHelp team contacts you.
Absolutely! We understand that much of what happens at the University of Chicago is a team effort, and the Web Property Registry supports those efforts. Each web property can have up to two individuals assigned as Site Owners. If you are Registering a web property on behalf of someone else, you may provide the contact information of the someone else as a second Site Owner. Assigning a web property this way would empower the other individual to see the web property in the list of things they ‘own’ within the Registry - and give them access to edit the web property record in the application.
After logging into the Web Property Registry, you will be presented with a list of web properties that you are assigned as a Site Owner. Clicking on one of the sites you own will take you to a page where you can view more details about the web property. From here, you can click the “Edit” button and make changes to the web property. Please note that some fields or data for the web property may be defined by other teams at the University of Chicago. If at any point you get stuck, have questions, or want to better understand how data for a web property is defined, you can email WebHelp@uchicago.edu.
No. Updating a web property record in the Web Property Registry does not directly affect your web property. Think of the Web Property Registry as an inventory of the web properties you own. Editing some fields in the Registry will inform other University of Chicago team members that certain actions or conversations should occur. However, changing a piece of information doesn’t directly affect your web property. For example, if you Edit the web property record for your Voices website, and within the Registry change the content management system field to “Expression Engine” this will not directly update your web property to run on the Expression Engine platform.
The Web Property Registry will occasionally trigger notifications that are delivered via email. These notifications generated by the Registry will come from uchicago@pimcore.services. As with all email, it’s best to stick to the standard precautions when receiving emails from an unknown source. If at any point you get stuck, have questions, or want to better understand how notifications for a web property are defined, you can email WebHelp@uchicago.edu.
There are occasions when the information in the Web Property Registry is updated based on information ITS has on record. In some instances, this may result in identifying you as the owner of a particular web property. The first step would be to login to the Web Property Registry, locate the web property in question in the list of web properties you own, and click into the record to learn more about the information stored about the web property. As an owner of the web property, you’ll be able to edit and update information about the web property. If at any point you get stuck, have questions, or want to better understand how data for a web property is defined, you can email WebHelp@uchicago.edu.

As with all email, it’s best to stick to the standard precautions when receiving emails from an unknown source. If you receive a notification indicating that you no longer own a web property, no further action is required. Oftentimes, offline conversations shed light on new information about web properties - including ownership. The UChicago Web Property Registry informs ITS of web properties relevant to the University. During periodic reviews of valid web properties, if a web property is not registered it runs the risk of being taken offline.
